Multistep workflow

The problem:

Scheduling professional training classes required referencing and maintaining multiple documents owned by different people that contained course information, facilitator availability, certification requirements, cost, and more. QA for upcoming classes was also a time-consuming manual task.

The solution:

Built an automated scheduling system in a single spreadsheet that consolidated all key inputs (availability, certifications, cost considerations, and regional flexibility). Scheduling is now driven by conditional dropdowns that can be modified by viewers to show eligible facilitators based on class and region. A real-time dashboard pulls learning platform data daily, highlights key scheduling risks, and automates go/no-go decisions based on predetermined rules.

Dashboard

A real-time dashboard pulled learning platform data daily, highlighted key scheduling risks, and automated go/no-go decisions based on predetermined rules. It could be filtered by variables like training date/time and go/no-go recommendations.

Automatic QA

The dashboard included automatic QA capabilities that flagged courses nearing certain limitations—such as capacity, demand, enrollment, personnel availability, and more.

Automatic decision-making

The dashboard incorporated automatic decision-making elements—replacing previously manual processes of determining whether a class should be confirmed, canceled, or held open (TBD). Each determination was unique to each class and hosts’ preferences and—once confirmed or canceled—would disappear from this specific panel.

Post-event follow up

The dashboard flagged training sessions with no-shows or missing attendance—prompting facilitators to proactively reach out to students regarding completion status.
